Turn a PDF catalogue into product records without trusting every extracted number

A PDF catalogue can be a useful starting source, but extracted text still needs to be matched to the right product. Treat uncertain prices and options as review items, not automatically publishable data.

Preserve the original document

Keep the source PDF and its date so every extracted field can be checked. Work on a separate transformation file.

Confirm that you have permission to use the product information and images. A supplier document is not automatically a licence to republish every asset.

Define the destination fields

List the title, description, price, options, category and image references required by the destination. Mark fields the PDF does not contain.

Do not turn a visually grouped table into separate products without understanding its meaning. A column may describe sizes, pack quantities or wholesale tiers rather than independent retail items.

Inspect difficult extraction cases

Check decimal points, currency symbols, crossed-out prices, footnotes and text placed beside several images. A number can be correctly extracted but assigned to the wrong item.

Use explicit uncertainty flags. An unreadable amount should not become zero or a guessed price just to satisfy an import format.

Reconcile at product level

Compare the source entry with the transformed record and intended photograph. Count products separately from variants and image files.

Start with a small private sample and inspect the rendered result before preparing the full import. Do not publish the sample to customers without the appropriate release process.

Keep corrections reproducible

Record what was manually changed and why. If the source PDF is updated, those decisions should not be lost in an unexplained spreadsheet.

Illustrative case to check

A PDF table lists “12” beside a product and “₹600” in a shared column. Determine whether 12 means pieces per pack, a minimum quantity or a model number before importing. A correct text extraction can still produce the wrong selling unit. Hold the row until the catalogue owner confirms its meaning.
