Separate service messages from promotional WhatsApp contact

Keep necessary order communication distinct from promotional contact, with clear purposes, appropriate permission and a reliable way to honour contact preferences.

A customer who needs a dispatch update is not necessarily asking to receive every future product launch. Treat service communication and marketing as different jobs.

The distinction should be visible in your content, records and sending process. Do not hide a sales pitch inside a message that appears to be only an essential order update.

Name the purpose before writing

Ask why this person needs the message now. Is it about their current order, a question they asked, or a new promotional offer?

Write the purpose in your campaign or support record. If the answer is “because we have their number,” that is not enough.

Keep the message focused. A shipping update does not need to become a catalogue announcement to justify the effort of sending it.

Check the applicable rules and permission

WhatsApp's current Business Messaging Policy requires permission for subsequent contact and respect for requests to stop. The Business Platform also has specific template and messaging-window rules.

Check the requirements for the product you actually use and the applicable law. Do not assume that rules for an API arrangement, a mobile app and another communication channel are interchangeable.

Keep a clear preference record

Record the permission or preference information needed for your process, including its purpose and any withdrawal. Do not treat an old purchase as indefinite permission for unrelated promotion.

Do not imply that the customer must respond to preserve an existing order or receive normal support. Promotional urgency should not be confused with a service obligation.

Check that the product, stock and destination match the message before sending. An announcement about unavailable goods creates avoidable disappointment.

Honour a stop request across the workflow

Apply the preference through the supported process and prevent an old export or manual list from reintroducing the person into promotional contact.

Clarify how necessary order communication will be handled through an appropriate route, taking the applicable rules into account. Do not use “service” as a blanket label for every message you still want to send.

If several people or tools are involved, test the handover with an authorised fictional example rather than real unwanted messages.

Keep promotional audience exports short-lived and controlled. Before reusing one, check current preferences instead of assuming that a previously valid list remains suitable for another send.

Review the message library periodically

Saved replies and campaign templates can drift into the wrong purpose. A delivery update may gradually acquire a promotional paragraph that nobody has re-evaluated.

Give each template an owner, intended use and review date. Remove obsolete promises, links and audience assumptions.

Keep records of complaints and preference failures at an appropriate level. Repeated mistakes indicate a process problem, not merely customers being sensitive to contact.
