Stop payment screenshots from becoming your payment record

Verify payment through your authorised bank or provider record, keeping screenshots, pending states and order fulfilment decisions separate.

A payment screenshot tells you what someone has shown you. It does not replace checking the authorised payment record for the order.

Build a verification routine that does not depend on urgency, a familiar name or a convincing image. This guide covers operational checks; use your bank or payment provider's official process for transaction status, disputes and suspected fraud.

Identify the expected payment

Connect the request to an order reference, amount and intended payment route. A random credit with a similar amount may not belong to the order you are handling.

Use the correct business account or provider dashboard through a trusted route. Do not follow an unexpected login link sent by a supposed customer or support agent.

Keep access restricted to authorised people. A helper can coordinate an enquiry without being given unrestricted payment-account access.

Check the authoritative status

Look for the transaction in the bank or provider record and confirm the relevant amount, reference and status. Use the provider's meaning of successful, pending or failed.

Do not mark an order paid merely because a customer says the money left their account. Their experience may require investigation, but it does not establish the receiving status by itself.

If the systems disagree, keep the order in a clearly unresolved state and use the official support process.

Never request secret credentials

Customers should not send you a UPI PIN, OTP or account password to prove payment. Your staff should not share those credentials either.

NPCI's UPI material includes the warning that a UPI PIN is not needed to receive money. Treat any request to enter one merely to receive a payment as a serious warning and verify through official channels.

Do not install remote-access software or approve a transaction simply because somebody claims it is necessary to release funds.

Separate payment verification from stock handling

Define what happens to stock while a payment remains uncertain. Do not guess that a failed screen means no transaction occurred, and do not promise the same scarce item again without reconciling the order.

Use the supported reservation or manual commitment process. Make the unresolved case visible to the person handling stock.

Communicate the uncertainty calmly

An illustrative response is: “We have received your message, but the payment is not yet confirmed in our receiving record. We are checking the reference through our provider before updating the order.”

Adapt the wording to the facts. Do not accuse the customer of fraud merely because a transaction is delayed.

Give a realistic next update time or the legitimate support route. Avoid repeatedly asking for the same screenshot when it cannot resolve the authoritative status.

Investigate duplicate or excess payments carefully

If more than one payment appears connected to an order, reconcile the references before dispatching additional goods or returning money.

Do not send a refund to an unrelated account solely because a message requests it. Use the provider's supported refund process and the business's authorised controls.

Keep refund approval, initiation and completion separate in the record. Do not promise an instant reversal without a verified basis.

If your process permits partial payments, record the amount verified and the remaining balance separately. Do not mark the entire order paid because one legitimate credit appeared.

Preserve only the evidence you need

Store relevant transaction references and investigation notes in the protected order or payment workflow. Avoid circulating screenshots containing unnecessary financial details.

Use fictional or properly redacted examples for staff training. A real customer's payment image should not become a public social-proof post.

If fraud is suspected, contact the bank or provider through its official channel promptly and follow the appropriate reporting process. Do not attempt to investigate by sharing credentials with the suspected sender.
