Prepare a minimal store dataset for an AI business question

An AI analysis does not need every customer detail simply because you can export it. Start with the business question and provide the smallest relevant dataset.

Define the calculation or decision

Ask a concrete question, such as which products have incomplete descriptions or how contribution changes under an illustrative discount. A vague request to analyse everything encourages unnecessary collection and unfocused answers.

Write what a useful result should contain before preparing the file.

Separate public product facts from private records

Product titles and public prices are different from customer addresses, payment references and internal notes. Do not combine them by default.

Where an aggregate answers the question, use it instead of individual customer records. Check the provider's current data-handling terms and your own obligations before uploading information.

Explain the fields

A column named paid may have a particular application meaning. Define totals, refunds, delivery charges and time periods explicitly. Do not assume the tool will infer your accounting convention correctly.

Include a small data dictionary and mark missing values. A blank should not automatically become zero, especially when that changes the decision.

Check a known example first

Choose one row or aggregate whose result you can calculate independently. Ask the tool to explain its arithmetic and treatment of missing information.

If it fails that example, fix the definitions before expanding the dataset. More rows will not repair a misunderstood field.

Keep recommendations tied to evidence

Require the answer to separate observed facts, calculations and assumptions. A suggestion to raise prices is not justified merely because revenue rose in one period.

Retain the input version and the question so the result can be reproduced. Remove temporary files according to your authorised retention process, not an improvised promise that an upload has disappeared.

To compare two discount scenarios, the tool may need product costs, prices and assumed quantities—not buyer names, addresses and phone numbers.
