Compare delivery partners using your actual shipment mix

Compare couriers using representative parcels, destinations, service limits, support and settled costs rather than one headline rate.

A low advertised shipping rate may not be the lowest workable cost for your shop's actual parcels. Weight rules, destination coverage, pickup reliability, COD handling and exception support can change the result.

Compare delivery partners using a representative shipment mix. The aim is not to name one universally best courier, but to identify which service fits the orders you really send.

Build a small shipment sample

Select examples from your recent or planned orders: a light local parcel, a heavier distant parcel, a fragile item and a COD order if you offer it.

Record packed dimensions, actual weight, origin and destination pincodes. Use the final packaging rather than the unpacked product.

Do not include customer names or complete addresses in a general comparison document when pincodes and parcel characteristics are enough.

Obtain comparable quotations

Ask each provider for the relevant service and conditions for the same sample. Separate base transport charges from additional charges and taxes where shown.

Check the actual and volumetric-weight method, rounding rules and surcharges in the provider's current terms. Do not apply one carrier's divisor to every service.

Treat a quote as specific to its stated conditions and date, not a permanent public price promise.

Verify serviceability and pickup

A provider may serve a destination while offering different pickup availability at your origin. Confirm both ends of the operation.

Check cutoff times, pickup booking requirements and what happens when a collection is missed. These details affect your dispatch promise even before transit begins.

Do not advertise a faster customer timeline solely from the carrier's transit estimate if your own handover process adds time.

Compare exception handling

Ask how to raise a missing scan, damage report, unsuccessful delivery or delivered-not-received case. Note the required evidence and reporting process.

A low rate can become costly if unresolved exceptions consume staff time and damage customer confidence.

Do not assume that every lost or damaged parcel is automatically covered. Review the applicable liability, declaration and claim conditions with appropriate advice where needed.

Evaluate COD as its own service

If relevant, inspect COD eligibility, charges, collection records, remittance timing and reconciliation references.

Keep collected sales value separate from cash already settled to your business. A promised remittance schedule should be checked against actual settlements during the trial.

Do not offer COD for a destination or product merely because a provider supports it somewhere in its network.

Run a controlled trial

Start with a manageable set of genuine shipments within the service's supported conditions. Continue to meet customer obligations and do not use their orders for reckless experimentation.

Record pickup success, tracking usefulness, delivery outcome, support response and final charged amount. Compare these against the original quote.

A small trial gives operational evidence, not a statistically certain ranking of every future shipment.

Calculate the operational cost

Include transport, extra charges, packaging implications, return-to-origin exposure and staff time spent resolving issues where you can measure them.

For illustration, saving ₹15 on a label is not a clear benefit if the service repeatedly requires substantial manual follow-up. Use actual observations rather than an invented penalty amount.

Avoid assigning all customer complaints to the courier without checking address quality, packing and dispatch accuracy on your side.

Decide by shipment type

You may choose one default service and a verified alternative for particular parcels or destinations. Keep the selection rule understandable to the packing team.

Do not create a complicated multi-carrier process that nobody can follow reliably. Operational simplicity has value too.

Review the choice when your parcel mix or provider terms change. A service that fit small domestic parcels may not fit a new bulky range.

The useful comparison combines price with the ability to keep the customer promise. Maintain dated evidence, understand limitations and judge providers on the shipments your business actually sends.

Include at least one ordinary support interaction in the evaluation. Confirm whether the person handling shipments can locate the correct contact route and explain a problem using the information available in your packing records.
